The primary function of the Staffing Coordinator is to proactively engage with our staffing pool and fill shifts across the organisation in a timely and efficient manner. This role will also be responsible for maintaining records relating to requests and the filling of shifts. Working as part of a team, this role will require the successful candidate to join an on-call rota for the cover of emergency shifts in the early morning, evenings and weekends.


  • Maintenance of relief staff & agency staff records within the rota system (Carista)
  • Build and maintain good communications with the Carista Support Coordinator regarding the operating system
  • Coordination of rota cover for all known and planned absences across all services to the agreed timescales
  • Joining the Staffing on-call rota in order to provide appropriate emergency/out of hours cover for shifts
  • Liaise with agencies when necessary
  • Build and maintain constructive relationships with relief staff, permanent staff, service managers and agencies
  • Maintain and ensure communication channels are kept up to date
  • Liaise closely with the wider team to fully utilise Inspire staff first and foremost


  • Willingness to work anti-social hours (early mornings, evenings and weekends)
  • Good logic and problem solving skills
  • Confident communication skills (both written and verbal)
  • Ability to work on own initiative to agreed timescales and standards
  • Experience in administrative/co-ordinating/logistics type role requiring excellent organisational skills
  • Detail conscious and well organised
  • Sound IT skills including Excel to a high standard
